Jobs in this family provide support for program/agency activities and operations. These may include data entry, production, basic inventory tracking, document and records management, clerical, medical coding, office management, or budget support activities. Duties may include explaining and applying rules, policies, and procedures; providing basic research and analysis; interpretation of rules, policies, procedures, and laws; and serving in a liaison role to provide support.

The functions within this job family will vary by level, but may include the following:

  • Provide basic clerical support and data-entry.
  • Procure supplies and equipment.
  • Assist with maintaining, monitoring, and/or developing budgets.

Admin Support Assistant I

This is the entry-level Administrative Support position. The incumbent works within set guidelines and under direct supervision to perform simple and repetitive clerical, printing, and mail related duties.

Typically requires High School Diploma or equivalent and 0-1 years of experience.

Admin Support Assistant II

Second-level Administrative Support incumbents perform a variety of clerical, printing, and mail related tasks in support of a work unit. Employees at this level are required to be familiar with the knowledge of the procedures and processes applicable to the performance of the work.

Typically requires High School Diploma or equivalent and 1-3 years of experience.

Admin Support Assistant III

Third-level in vocational Administrative Support work. This position performs a variety of clerical, printing, and mail related tasks in support of a work unit. Employees at this level are required to have a knowledge of the procedures and processes applicable to the performance of the work and to organize their work on a daily or weekly basis by exercising independence and judgment that is greater than lower-level positions. May provide work direction to lower-level positions.

Typically requires High School Diploma or equivalent and 2-4 years of experience.

Admin Support Assistant IV

This is advanced-level vocational work which involves performing a variety of complex administrative duties in developing and carrying out departmental programs. The work includes responsibility for analyzing administrative problems, and requires independent judgment in the interpretation, application and enforcement of statutes, rules, regulations, and policies.

Admin Support Specialist

Professional-level Administrative Support incumbents at this level are accountable for a variety of support service functions such as personnel support; general accounting; maintenance of files and records; and approval of requisitions for payment of operating expenses. Assists administrative support supervisors in the administration of agency programs and operations in the coordination of communications internally and externally, and in representing the agency to the public. The employee performs work exercising a high degree of confidentiality essential in the execution of assigned duties. The work involves frequent contact with various public and private groups and officials for the purpose of exchanging non-routine information as well as for interpreting rules and regulations. Independent decision-making is exercised in all facets of this work, including the dissemination of confidential information. At this level, employees provide executive administrative support to an agency head. Positions assigned to this classification are non-state service and serve at the will and pleasure of the Executive Director.

Typically requires a Bachelor’s Degree; or High School Diploma or equivalent and 4-6 years of experience.

Admin Support Team Leader

First-level supervisory administrative support positions are accountable for assisting higher level supervisors with overseeing and coordinating the work of staff doing a limited range of general activities in direct support of agency programs or operations.

Employee supervision includes hire recommendations, training, planning, and assigning work, performance assessment, coaching, and progressive discipline. Supervision at this level also requires these employees to have the knowledge and skills to perform and review the work overseen.

Typically requires High School Diploma or equivalent and 5-7 years of experience.
